OREGON TRAIL WINNIES & ITASCAS

REGULAR MEMBERSHIP MEETING

Seven Feathers RV Resort, Canyonville, OR

October 22, 2011


The meeting was called to order by President David Endicott at 10:02 AM.


Minutes:  ON MOTION MADE, SECONDED AND CARRIED, THE MINUTES FOR THE MEETING OF SEPTEMBER 25, 2011 AS AMENDED WERE APPROVED.


Treasurer’s Report:  Charlene McCart stated that there was a total income for the fiscal year of approximately $26,000.00 with approximately $9,000.00 left in the checking account.  She reviewed the income and expenses covering the rally noting that there was a deficit of $344.00 for the rally.  Upon questioning on exactly what caused the deficit she outlined several items, no one item being large, stating that it was an accumulation of a number of small expenses that went over what had been budgeted with less income coming in on some items.

Charlene presented the proposed budget for next year, noting that there will be an increase in parking costs at the Polk County Fairgrounds, which is not factored into the presented budget.


Wagonmaster’s Report:   Wagonmaster Gene Hammond reminded everyone that the next meeting will be in Salem at Hee Hee Ilahee on April 19-22, 2012.  He asked that the first night deposit check be submitted to him, payable to the campground in the amount of $38.94.


Webmaster’s Report:  Webmaster David Endicott indicated that he had been asked to start up the website a number of years ago.  He reported that the website receives about 1800 hits per month.  


Past President/Rally Report:  Perry McCart reported that 29 rally evaluations had  been submitted.  He briefly reviewed what the comments were, concluding that one of the main interests in attending the rally was the social interaction.  He noted that because of the weather the new officers need to be aware that there are air movers in the halls of the main building that the maintenance man can turn on.  He noted that the first day of warm weather they were not turned on, so if in future rallies that again happens, that someone should contact the maintenance man.  He reported that there had been a request for more technicians to be present to take care of problems on rigs.


Old Business


New Member Recruitment – David indicated that his number one goal for the upcoming year was to bring new members.  He asked that anyone who had an idea for recruiting members contact him as he hoped to have a program in the works by the April 2012 meeting.  He indicated that he had WIT pamphlets that could be distributed for recruitment.

Monthly WIT Reports – David urged the chapter leaders to use the monthly WIT lists of purchasers of Winnebago/Itascas to bring in new members to their chapters as well as the State Club and to remind members to renew their membership in WIT.

Chapter Hosting and Campout Schedule – The schedule for next year is April 20-22, to be at Hee Hee Ilahee in Salem with the Willamette Gad-A-Bouts host; June 22-24, to be at Devil’s Lake RV in Lincoln City with the High Desert Road Runners hosting; September 19-23 to be at the Polk County Fairgrounds in Rickreall, hosted by all Oregon Chapters; and October 19-21 will be at Blue Ox RV in Albany, Cascade Travelers host.  David went on to report that he would be working with the High Desert Road Runners to determine what their status will be this year since they have lost so many members it will be difficult to host a State meeting and or provide meals at the State Rally.


New Business


Chapter of Excellence – David reported that he had discussed the possibility of incorporating the new metal Club of Excellence sign into a part of a smaller Club sign rather than the large banner and the Club of Excellence sign.  He suggested that the Chapters could do as they wished with their Chapter of Excellence signs.

Northwest Regional Rally – David asked that anyone planning on attending the NWRR May 16-18, 2012 at Moses Lake, WA to please so advise him so that if others are planning to do so a caravan could be put together.

Grand National Rally – David reported that the McCarts will be attending the GNR in July in Forest City, Iowa.  If others are interested in attending, they might contact them.

OTWI Rally Themes for 2012 & 2013 – It was noted that themes for the next two State Rallies were to be submitted to the Secretary and they would be presented at dinner with an opportunity for everyone to choose the two themes at that time.

Officer Responsibilities – David noted that the officers of each chapter had many responsibilities, however, they could not do them all without the help of the individual members.  He noted that the more projects there members get involved with, the more fun they’ll have at the chapter outings.

Food Preparation – It was agreed that those involved with the food preparation would be getting together to discuss possible changes.

Chapter Assignments at Rally - It was noted that the assignments at the upcoming rally are on the website.  (The assignments for upcoming years as previously approved are attached hereto.)

Rally Pin Design – Everyone was reminded that pin designs for the upcoming rally are to be presented at the April meeting.  There will be a prize for the winner.
